MILESTONE relocation projects generally originate in the greater San Francisco bay area. The majority of our move destinations are western US-based cities. While, we have managed projects to most major metro regions in the United States, our specialty is providing relocations in the west.
All moves, regardless of the amount and type of equipment or the final destination, are managed in a similar way. This process has been refined over time so that every project is completed correctly, on-time and within budget. The process starts with the proper planning.
A. Pre-move planning.
- On-site Survey. The purpose of the on-site survey is to document details that the project crew will need. Equipment type, quantity, accessibility and special tool requirements are all key information. The value of this survey cannot be overstated. MILESTONE has moved millions of pieces of IT equipment. We have the experience to identify potential issues before they become problems on move day.
- Dedicated Team. Your contact during the planning and the move itself is one of MILESTONE’s skilled account managers. It is this manager’s job to ensure that your move is as seamless as it can be. From the first day of the on-site survey, to every question that you and your team may have, your account manager is only a phone call away. This MILESTONE manager is the information conduit to the rest of the MILESTONE project managers, project leads and technicians.
- Project Plan. IT moves of any size can involve many groups of individuals. Not only do moves involve IT departments, but also people from facilities, security, movers and other vendors all must synchronize and work in concert together. MILESTONE Project Plans break down the structure of each required task. The Project Plan sequences who is responsible for what and in what priority. We identify, in advance, the inventory to be relocated, how many technicians, how many leads, device priority, timeframes and scheduling to maximize communication among all of the groups.
- Professional Technicians. Before any MILESTONE technician is assigned to your move, each technician undergoes extensive screening for any prior criminal history. Other background checks further determine if a candidate is suitable to be on the MILESTONE team. Only people with a clear background become MILESTONE employees. They are then trained on the proven MILESTONE methods. Employees showing aptitude are encouraged to grow technically with MILESTONE through company-sponsored credential and certification training.
Executing the move.
- The War Room. A specific area within the originating facility is designated as the ‘war room.’ Here, activity is centrally monitored, communications are posted and team meetings are held during the project. Any project personnel (electricians, telephone, company, movers and the client) all know the location of the war room.
- MILESTONE 365/24/7 Relocations Operations Center (ROC). We have multiple projects going at any given time. MILESTONE accountability for a seamless relocation project is continuously monitored by our ROC engineers. When things change or problems occur or additional resources need to be engaged, the ROC knows about it and can respond quickly and efficiently with the right solution.
- On-site Pre-move Briefing. On each move day morning, before the teams begin work, the MILESTONE project manager(s) communicate the goals, priorities and specific objectives of that day’s activity to their respective team members.
- Device Disconnect. The equipment is identified for its destination in accordance with the project plan while it is still in service at the point of origin. Prior to disconnect, inventory data forms are completed, cables are labeled, and ‘from and to’ locations are verified. Then the equipment is disconnected.
- Equipment Packaging. Depending on the length of time, distance and circumstances to the point of destination, the equipment is properly packaged and labeled. For the majority of IT equipment relocations MILESTONE performs, this part of the move is nick-named ‘bag-n-tag'.
- The Equipment is Moved. MILESTONE works with your moving company partner or one of our specialized partner moving companies to physically load, transport and unload the equipment.
- System Reconnect/Reinstall. During the reinstall process, specialized reconnect protocol is closely followed. These procedures will vary slightly depending of the kind(s) of device(s) being reconnected. Locations and inventories are verified. The inventoried contents delivered to each location are also verified. Upon installation, cables are enumerated and managed for neatness and safety. Once reinstalled and reconnected, each device is functionally tested.
Post-move support.
- Support Center. Any change (especially a move) is difficult on end-users. Our Relocate ITSM service offers a post-move support model which is based on our service desk experience. Skilled technicians manage an on-site help desk where potential discrepancies are reported, recorded, repaired and/or dispatched for repair.
- Server Room Elevation Drawings. We work device by device with lab owners to ensure connectivity and configuration correctness, leaving the equipment owner with ‘as-moved’ documentation.
- Post-Move Audit Forum. We are happy to meet with end-users, project managers or other client representatives at any time after a move to make sure of 100% satisfaction and project completion.
